Privacy Policy

How we collect, use and protect your personal information.

AJ Reubens Solicitors is committed to protecting your privacy. This policy sets out the types of personal information we collect through ajreubens.co.uk and in the course of providing our legal services, how we collect and process that information, who we share it with and the rights you have in this respect.

1. Who is responsible for your data

AJ Reubens Solicitors is responsible for your personal data. For the purposes of applicable data protection law (in particular the UK General Data Protection Regulation and the Data Protection Act 2018), your data is controlled by AJ Reubens Solicitors Limited (company number 11563930), trading as AJ Reubens Solicitors, of Highland House, 165-167 The Broadway, Wimbledon, SW19 1NE.

2. Why we process your data

  • to provide legal services under contract to you;
  • to provide services to others, in so far as this does not breach client confidentiality;
  • to comply with our regulatory and other legal obligations, including those of the Solicitors Regulation Authority;
  • to protect AJ Reubens Solicitors against potential claims;
  • to send updates you have subscribed to (you can unsubscribe at any time).

3. Legal basis

Your data is processed on the basis that AJ Reubens Solicitors has a legitimate interest in achieving the aims set out above. Where special category data is provided, the provider of the data warrants that they consent to us processing that data or that they have obtained written consent from the data subject.

4. Personal data we hold

As a minimum, we are required to positively identify our clients, including a director in the case of a corporate client. We also hold whatever information is provided to us by clients and others, such as details given through our contact form. In most cases this will not include special category data. If you do not provide the data we require, we will not be able to provide our services.

We obtain most personal data from our clients and from those who have shown an interest in our services. We also obtain some personal data from other correspondents and from publicly available sources.

5. Who we share it with

Any data provided by a client is treated as confidential to that client and is only shared in so far as necessary to provide the services contracted for, to comply with regulatory and other legal obligations, and to protect the firm against a potential claim — for example with courts, tribunals, the Home Office or counsel instructed in your matter. We rely on certain data processors, including secure cloud storage for files and emails, and ensure that data is processed in compliance with this policy. We never sell your personal data.

Other than where required to provide services in an individual matter, data is rarely sent to third countries. Where it is, the relevant devices are password protected and equipped with adequate security software.

6. How long we keep it

Data is held for six years from the end of the relevant matter unless our regulator advises a longer period, or for six years where it is not associated with a particular matter.

7. Your rights

Where relevant, you have the right to withdraw consent to processing of your data, to obtain a copy of the data we hold about you and to have any errors corrected. To exercise these rights, please email admin@ajreubens.co.uk or call 0203 621 1804. You may also complain to the Information Commissioner's Office at ico.org.uk.

8. Changes to this policy

AJ Reubens Solicitors may update this privacy policy from time to time. The current version will always be available on this page.
